Our story
Why Mindway exists
RM
Ryder McKenzie
Program Director & Founder
Mindway started four years ago with a simple mission — to help Australians reduce stress, sleep better, and live with a greater sense of balance and purpose. In the beginning, we worked directly with individuals. But before long, businesses began reaching out.
They saw the impact Mindway was having on people's lives and wanted that same kind of genuine support for their teams. At the time, most Employee Assistance Programs were outdated, uninspiring, and barely used. Companies were paying tens of thousands for a service only a handful of employees ever accessed. Many dropped their EAPs altogether — not because they didn't care, but because the system just wasn't working.
"That's when our purpose evolved — to build an EAP people actually want to use."
One that feels human, approachable, and genuinely helpful. Unlike many global corporate providers for whom EAP is just one of dozens of services, we're an independent, Australian-owned, founder-run provider focused solely on EAP for the Australian workforce.
We work directly with the companies and people we serve — building around their actual needs. That includes the counsellors in our network. The quality of support employees receive is directly tied to how well we support the people delivering it. That's not an afterthought for us — it's central to how Mindway operates.
How it works
Simple from day one
Once you're set up with Mindway, the process runs itself. Clients are matched to you, book directly into your calendar, and payment is processed at month-end — the same day it closes. No invoices, no chasing, no admin.
Step 01
Onboard with Mindway
We collect your profile details — your areas of expertise, qualifications, location, and preferred session types. This is what powers our client matching and ensures the referrals you receive are relevant to your practice.
Step 02
Set your availability
You tell us when you're open. Set time blocks across any days that suit you — weekday mornings, evenings, weekends, or a combination. You can update your availability at any time through the platform.
Step 03
Clients book directly in
When a matched employee books with you, it goes straight into your calendar. Mindway's system automatically prevents any double bookings — no manual confirmation needed from you, no back-and-forth required.
Step 04
Deliver sessions & get paid
Run your sessions as you normally would. At the end of each calendar month, your completed sessions are tallied automatically and payment is sent the same day. That's it — nothing to submit.
Flexibility
Work entirely on your terms
No quotas, no rigid structures, and no pressure to take on more than suits you. Mindway was designed around how independent practitioners actually work.
🕐
You set your own hours
Choose the days and times you're available and update them whenever you need to. There's no expectation to hold any particular hours. That said, booking demand from employees tends to be highest on weekday mornings, evenings, and weekends — so opening those times typically leads to more referrals.
Full schedule control
📊
No minimum commitment
There is no minimum number of sessions or hours required to be part of the Mindway network. Whether you want a handful of referrals to supplement your existing work, or a fuller caseload — the choice is entirely yours. You can scale up, pull back, or pause at any point, with no penalty.
Zero minimums
💻
Telehealth sessions
Deliver sessions online via your preferred video platform. Telehealth is highly popular with employees because of the convenience it offers. It also means you can support clients well beyond your immediate location, significantly expanding the pool of employees you can work with.
Remote delivery
🏢
Face-to-face sessions
Prefer in-person appointments? You can offer face-to-face sessions at your practice location. Many counsellors in our network choose to offer both — giving themselves and their clients the most flexibility depending on individual circumstances and preferences.
In-person delivery
Eligibility
Who we partner with
Mindway works exclusively with registered, experienced counsellors. We have specific requirements around membership body and experience to ensure the quality of support employees receive is consistently high.
If you have any questions about whether you meet the criteria, please reach out to the team directly and we'll be happy to talk it through.
Not sure if you qualify? Get in touch with the Mindway team — we're happy to answer any questions before you decide whether to proceed.
🏅
ACA — Level 2 or above
We accept counsellors who hold membership with the Australian Counselling Association at Level 2 or higher. This is the minimum membership level required to join the Mindway network.
🏅
PACFA — equivalent membership level
We also accept counsellors registered with the Psychotherapy and Counselling Federation of Australia at an equivalent level to ACA Level 2 or above.
📅
3+ years of practice experience
We look for counsellors who have been actively practising for at least three years. This ensures the clients we refer are receiving support from experienced practitioners with a solid clinical foundation.
🔒
Current professional indemnity insurance
All counsellors in the Mindway network are required to hold current professional indemnity insurance. This is a standard requirement and must be maintained for the duration of the partnership.
Payment
Fair rates. Same-day payment.
One of the things that genuinely sets Mindway apart is how we handle payment. You should never have to wait or chase an invoice. At the end of every calendar month, your completed sessions are counted and payment is sent the same day — without fail, every single month.
⚡ Month closes → sessions tallied → payment sent the same day
💰
Competitive rates
We offer rates that genuinely reflect the expertise and care you bring to each session. Specific rate details are shared and discussed during the onboarding process.
📅
Same-day, end-of-month processing
Your sessions for the month are calculated on the last day, and payment is processed and sent that same day. No waiting periods, no chasing, and nothing to submit from your end.
📋
Session-based calculation
Payment is based entirely on the number of sessions you complete in that month — transparent, consistent, and directly tied to your workload. More sessions, more payment. Simple.
🔒
The same process, every month
Mindway tracks your sessions automatically. No surprises, no adjustments, and no complicated structures to navigate. What you agree to is what you receive.
Client matching
Referrals that fit your practice
Mindway doesn't simply send you the next available client. Our matching process considers what the employee is looking for and connects them with counsellors whose expertise, focus areas, and availability align with their needs.
This means the clients you see through Mindway are relevant to your clinical areas — not random allocations. Employees also feel more confident entering sessions knowing they've been matched thoughtfully, which generally leads to stronger therapeutic relationships from the start.
Your profile is central to this. The more detail you provide about your focus areas during onboarding, the more accurately we can match you with employees whose needs align with your expertise.

Booking demand from employees tends to be highest during weekday business hours, evenings (after hours), and on weekends. That said, requests can come through at any time based on the individual employee's availability. Importantly, you are only ever booked during the time slots you've made available — so if you only open Saturday mornings or Tuesday evenings, that's when you'll receive bookings. You are never scheduled outside of your nominated hours.
Once you're set up on the Mindway platform, your available time slots are visible to matched employees for booking. When an employee books a session, it is confirmed and placed directly into your calendar — no manual acceptance needed from you. Mindway's system automatically prevents double bookings, so two clients can never be scheduled at the same time. The process is entirely hands-off so you can stay focused on your sessions rather than your calendar.
Yes — you can offer one or both. Many counsellors in the Mindway network offer telehealth for the flexibility it gives both them and their clients, while also making face-to-face available for those who prefer in-person support. You indicate your preferred delivery methods when setting up your profile, and you can update this at any time. There's no requirement to offer both.
Payment is processed at the end of each calendar month based on the number of sessions you completed that month. What makes Mindway different is that payment is sent the same day the month closes — you don't wait days or weeks.
Sessions are tracked automatically through the platform as they're completed
Your monthly total is calculated on the last day of the month
Payment is processed and sent the same day, every month without exception
There is nothing to submit or invoice — Mindway handles the entire calculation
Rates are competitive and discussed in detail during onboarding
When an employee reaches out to Mindway for support, we gather information about what they're looking for — their presenting concerns, any counsellor preferences, and their availability. We then match them to counsellors whose expertise, focus areas, session type, and availability align. Your profile is central to this. Common presenting areas include workplace stress, anxiety, depression, trauma, grief, burnout, and relationship difficulties — but this varies widely. The more detail you provide in your profile about your areas of practice, the more relevant your referrals will be.
Yes — you are in full control of your availability at all times. If you need to reduce your hours, pause referrals, or take leave, you can update your availability directly through the platform. There is no penalty for adjusting your schedule and no obligation to maintain a set level of availability. You can pause and resume at any time to suit what's happening in your practice and your life.
Partnering with Mindway is completely non-exclusive. You remain a fully independent practitioner and are free to continue working with other EAPs, referral platforms, or your own private clients alongside your Mindway referrals. Many counsellors in our network maintain a diverse mix of work streams — Mindway is simply one part of a broader practice.
Once you're part of the Mindway network, you'll have a direct point of contact who you can reach out to at any time — not a ticket system or automated responses, a real person who knows who you are. Our team is available to assist with platform questions, booking issues, or anything else that comes up. We actively seek feedback from our counsellors and use it to keep improving the platform and the partnership experience.
Onboarding is straightforward and typically quick. Once you've expressed interest, a member of the Mindway team will be in touch to walk you through the process, confirm your eligibility, and get your profile set up. We'll gather your availability, focus areas, and session preferences so that the matching system is ready to start sending you relevant referrals. The team is with you throughout and will answer any questions along the way.
